In short: Monthly plans require 30 days' written notice. Project work can be stopped at any milestone after settling completed work. Micro-services can't be cancelled once delivery has started.
1. Policy Overview
This Cancellation Policy explains how Clients can cancel services from PeakTree Digital ("we", "us", "our"), what notice period applies, and what happens to active work and payments after cancellation. It works alongside our Terms of Service and Refund Policy.
The cancellation terms vary depending on the type of engagement. Please read the section that applies to your service.
2. Monthly Plans (Starter, Professional, Enterprise)
2.1 Notice Period
Monthly subscription plans can be cancelled with 30 days' written notice. This gives us time to hand off work, transition accounts, and close out the current cycle without service disruption.
2.2 When the 30 Days Begin
The 30-day notice period begins on the first business day after we acknowledge your cancellation request in writing. A request sent via WhatsApp or phone call is not considered valid — you must email us.
2.3 Billing During Notice
- The current billing cycle is fully charged — no partial-month refunds.
- If your cancellation lands mid-cycle, one more full month may be billed depending on your plan start date.
- No new work beyond the agreed scope will be initiated during the notice period.
2.4 Cancelling Before Renewal
To avoid auto-renewal, notify us at least 7 days before your renewal date. Otherwise, the plan auto-renews for one more month and the 30-day notice begins from there.
3. Project-Based Work
Project engagements (website design, app development, branding, custom builds) can be cancelled at any time. Here's how it works:
3.1 Before Work Begins
- Notify us in writing before the kick-off meeting or first design milestone.
- The advance is refunded minus payment gateway charges only if work hasn't started. See our Refund Policy for full details.
- Once design, code, or campaign setup has begun, cancellation is subject to the milestone rules below.
3.2 Mid-Project Cancellation
- You can stop the project at any milestone boundary — e.g., after wireframes, after design, after development phase 1.
- All work completed up to that point is fully billable as per the original project value.
- Files, code, and assets completed up to that point will be handed over within 7 business days of final settlement.
- The remaining project balance is waived — you only pay for what has been delivered.
No refunds on completed milestones. If a milestone has been delivered and approved, its payment is non-refundable. This is because the work has already been performed and cannot be "returned."
4. Micro-Services
Micro-services (Social Media Starter Test, Followers Boost, YouTube Views/Subscribers, Instagram Portfolio Mgmt, YouTube Mgmt, Instagram Views) are short-duration, one-time engagements.
- Before delivery starts: You may cancel for a full refund (excluding payment gateway fees), provided delivery hasn't begun.
- Once delivery starts: Cancellation is not possible. Delivery is committed to platforms and cannot be withdrawn.
- After delivery: Cancellation does not apply.
Delivery for micro-services typically begins within a few hours of payment confirmation. If you wish to cancel, email us immediately after payment — before we've started.
5. How to Cancel
All cancellations must be submitted in writing to create a proper record for both sides. We do not accept cancellations over phone calls or casual WhatsApp messages alone.
Step-by-step process
Send an email to hello@peaktreedigital.com with the subject line "Cancellation Request".
Mention your registered name, invoice number, service name, and the reason for cancellation.
We respond within 1 business day to acknowledge the request and confirm the notice period.
We settle any outstanding balances, hand over completed deliverables, and formally close the engagement.
6. What Happens After You Cancel
Once your cancellation is confirmed and processed, the following takes effect:
- Active services stop: Campaigns pause, scheduled posts stop, development work halts.
- Access is retained for 14 days: You can still request your files, reports, and completed deliverables during this window.
- Data is archived for 60 days: We keep a backup of project assets. After 60 days, we may delete them permanently.
- Auto-billing stops: No future charges are made after the notice period ends.
- Digital assets are handed over: All files, code, credentials, and documentation you're entitled to will be delivered.
- Access credentials rotated: Any shared credentials we hold for you will be removed from our systems.
7. Cancellation by Us
In rare cases, PeakTree Digital may cancel an engagement. We'll do this only if:
- Payment default: An invoice remains unpaid for more than 30 days after the due date.
- Policy violation: You breach our Terms of Service or engage in illegal, abusive, or harmful activities.
- Platform restrictions: A third-party platform (Google, Meta, YouTube) prohibits us from delivering the service for reasons outside our control.
- Mutual mismatch: It becomes clear that the engagement isn't a good fit — we'll refund any work not yet performed.
In case of cancellation by us (except for breach or payment default), the Client will receive a credit note for undelivered work, usable against future services. Refunds follow our Refund Policy.
8. Fees & Outstanding Balances
Cancellation does not waive outstanding fees. On cancellation, the following becomes immediately payable:
- All fees for work completed up to the cancellation date.
- Any third-party costs already incurred on your behalf (fonts, stock images, ad credits, SaaS subscriptions).
- The current billing cycle's subscription fee, if you're within the notice period.
- Any applicable late fees or administrative charges, as per our Terms.
Balances unpaid within 15 days of cancellation may attract a late fee of 1.5% per month, in line with our Terms of Service.
